How do I book a stand?

What stand options are available?

Slide & OTS Winter offers:

  • shell scheme stands
  • space-only stands

 

What is included in a shell scheme stand?

Shell scheme packages generally include:

  • wall panels – on the sides against a neighbouring stand or venue wall
  • fascia nameboard

Are SIGB & OIA members entitled to discounted rates?

Yes. SIGB & OIA members benefit from preferential exhibitor rates.  Rates can be found here.

 

Can I choose my stand location?

Stand locations are allocated based on availability, stand size, and organiser approval.

 

Can I move or upgrade my stand?

Possibly, subject to availability.

 

When will I receive the Exhibitor Manual?

The Exhibitor Manual is emailed to confirmed exhibitors before the show.

 

What information is included in the Exhibitor Manual?

The manual includes:

  • build-up and breakdown information
  • contractor details
  • stand regulations
  • delivery information
  • parking and loading instructions
  • health and safety requirements
  • order forms and deadlines

 

How do I order stand extras?

Stand extras including electrics, furniture, graphics, internet, and cleaning can be ordered through the official contractors listed in the Exhibitor Manual.

 

Are there deadlines for contractor orders?

Yes. Ordering before the published deadlines helps avoid late surcharges.

 

Can exhibitors use their own contractors?

Yes, subject to organiser and venue approval.

 

Do space-only stands require approval?

Yes. Stand plans and supporting documentation may be required.

 

Are there stand height restrictions?

Yes. Height restrictions vary depending on stand location.

 

Can I share a stand with another brand?

Shared stands may be permitted with organiser approval.

 

Can exhibitors bring products into the hall themselves?

Yes. Full access and loading instructions are included in the Exhibitor Manual.

 

Can I send deliveries directly to the venue?

Yes. Delivery procedures and timings are included in the Exhibitor Manual.

 

Are forklifts available?

Yes, via the official logistics contractor.

 

Is exhibitor parking available?

Parking is available nearby and you can find all the information and discount information here.

 

Are loading bay instructions available?

Yes. Full loading bay and vehicle access procedures are included in the Exhibitor Manual and exhibitor update emails.

 

What are the build-up times?

Build-up schedules and access times are confirmed in exhibitor communications and the Exhibitor Manual.

 

What are the breakdown times?

Breakdown begins only after the official close of the exhibition.

 

Can I dismantle my stand early?

No. Early dismantling while the exhibition is open is strictly prohibited.

 

What happens if exhibitors dismantle early?

Early dismantling creates health and safety risks, affects the visitor experience, and may impact future participation.

 

Is overnight security provided?

No, if you require overnight security you will have to book it separately, but the venue is locked overnight.

 

Can I leave products on my stand overnight?

Yes, however exhibitors remain responsible for their own valuables.

 

Do exhibitors receive badges?

Yes. You can order them in advance through the Exhibitor Manual.

 

Can I invite customers and retailers?

Yes. Exhibitors are encouraged to invite their customers and contacts to the show.

 

Can additional staff badges be ordered?

Yes.

 

Can exhibitors access the halls before opening each day?

Yes, exhibitors can access the halls 1 hour before visitor opening.

 

Can I hand out leaflets in the aisles?

No. Promotional activity should remain within your stand space unless otherwise agreed.

 

Can I play music or videos on my stand?

Yes, provided volume levels do not disturb neighbouring exhibitors.

 

Can I offer drinks or refreshments on my stand?

Yes, subject to venue regulations.

 

Can I use gas appliances, smoke machines, or naked flames?

Only with prior written approval and appropriate safety documentation.

 

Can I bring vehicles into the hall?

Possibly, subject to organiser and venue approval in advance.

 

Do exhibitors need insurance?

Yes. Exhibitors are responsible for arranging appropriate insurance cover.

 

Are risk assessments required?

Certain stand types and activities require risk assessments and supporting documentation.

 

Is PPE required during build-up and breakdown?

Yes. Appropriate PPE may be required during construction periods.

 

Are sustainability initiatives encouraged?

Yes. Exhibitors are encouraged to:

  • minimise waste
  • reduce printed materials
  • use recyclable materials
  • avoid single-use plastics where possible
  • reuse stand materials
  • avoid use of carpet if it is single use

 

Can exhibitors organise competitions or giveaways?

Yes, subject to organiser approval and venue regulations.

 

Can exhibitors host meetings before or after show hours?

Yes, within agreed venue access times.

 

Is there Wi-Fi available for exhibitors?

Yes. There will be free public Wi-Fi access available throughout the venue. If a stronger connection is required, upgrades on the day can be purchased from Guest Relations in the main atrium.

 

How do I update my exhibitor listing?

Exhibitor listing information is managed via the organiser and exhibitor communications.

 

Can exhibitors submit press releases?

Yes. Exhibitors are encouraged to send product launches and company news before the event to slideotswinter@mcspr.co.uk.

 

Can exhibitors organise product launches at Slide & OTS Winter?

Yes.
